The scope of the computerization was to cover all the
activities of the client. It was a turnkey project. The scope covers production
planning based on market requirement, raw material planning and procurement
based on production plan, monitoring and controlling each production processes,
job worker planning and controlling, quality assurance, product market study and
sales analyzing tools, managing advertisements and its schedules, distributor
managing, finished stock allocation against distributors on priority, invoicing,
export management and accounts integration. Software has various MIS reports and
business monitoring modules to ensure the profitability of our client. As part
of business control module, we have employee performance analysis, cost
analysis, market growth analysis, etc.
When we started the computerization, our client was managing with number of
independent Microsoft® Excel® work sheets. Additionally, there were lack of
integration between departments resulting in ineffective data sharing between
them and this caused bottlenecks and our client was not able to reach a
satisfactory level of performance. As a result, our client was having
difficulties in satisfying the ever-growing market requirements which also
caused ever-growing blocked capital in the form of excess raw material purchased
etc.
Our first step was to identify and study all the planning, execution and
controlling methods followed. From the scratch, we developed a design that takes
care of all the planning and controlling activities ensuring high operational
performance.
We started with prototype development. The end user had hands-on-experience
before the software was implemented. After fine-tuning the prototype, we
developed and implemented the software phase by phase. Now it covers all the
activities ranging from Production planning, raw material management, production
control, sales analysis and distributor management.
Solution Provided
1. By making the information accessible across the organization, officers were
able to take better real-time decisions.
2. The planning process was computerized. In case of raw material procurement
planning the system was able to calculate more precisely, thus eliminating the
dead stock.
3. The sales planning was based on the product movement in the market. At each
distributor location, software module was installed, which collected the sales
and stock data for the use of the Head Office. Our client was able be study the
market trends and made sales planning based on them.
4. Material management module helped the storekeeper to have more control over
the items and enables him to move raw material on FIFO basis.
5. Strict inspection procedures were incorporated into the system which helped
them to reduce scrap and to improve product quality.
6. In case of product rejection, software has facility to track back on raw
material till the supplier or the job worker as the case may be. It also holds
the data related to the employees worked on the product.
7. After software implementation, our client was able to do their business with
less number of people. For instance, staff strength in various departments could
be reduced and still they are able to keep up the schedules in spite of a 30% -
35% business growth. Reducing manual work is one key factor of our software
design.
8. The production tracking was completely computerized. This helped our client
to monitor production more effectively. They were able to get the WIP status by
the click of a button whereas in the past they had to compute it from various
worksheets.
9. Bar codes were used to reduce tedious data entry process. Bar code scanning
brought out the data with 100% accuracy.
10. With various MIS, client was able to know the bottlenecks in the production
line. They were able to fine-tune the production line for higher efficiency thus
reducing cost of production.
11. Getting the increased employee efficiency level through the software helped
to improve the production line.
12. The job workers could be monitored through the software. The system
controlled job workers' schedule and kept vigil on the loss.
13. Managing distributors through software also helped to improve payment
collection. Our client was able to get more realistic figures on their product
movement in the market. Graphical MIS helped them in educating the distributors.
This helped the distributors to study the success case studies of fellow
distributors.
14. Automatic report triggers sends mails to department heads helped to get
attention to situations that should be addressed with priority. This process is
very essential in all businesses.
15. Accounts integration helped the department to have better control by
monitoring each bill against orders. The re-entry of data to ledgers is avoided
to get more accurate and speedy bookkeeping. |

all their construction activities. The ERP had a bridging module to
post accounts related data to EX NGN SS 1.5a accounting software,
which was new to our client. Their existing accounting software was
not compatible for a data bridging. The implementation of the ERP was
successful but the accounts department was comfortable with the report
formats of their previous accounting software as they were following
it for years.
The scope of computerization was to fetch the data from EX and
generate all statutory and MIS report in the format specified by our
client. Some accounting related MIS reports were designed for their
web site. The top-level management is provided with the security user
name and password. The publishing of information is on 128-bit
encryption. |

Scope was to design reports from EX data in the format specified by
the client. Apart from reports, we developed utility modules on EX
data. It includes rearranging account groups, easy drill down from
balance sheet through the transactions till the document level, user
specified formatted report printing, etc. |

Our client has business turnover of 5 to 7
projects per annum. Each project will have a number of job workers who
do the fabrication and erecting works. It involves 300+ units to erect
a refinery. The purchase order creation, tracking of job work,
costing, scheduling, etc were performed with Microsoft® Excel®
worksheets. The basic problem with this kind of business running is
lack of information flow. Departments that are interrelated can't
share the data and this creates a bottleneck.
We started our system study from their Excel® worksheets. Each
operation was studied for prototype development. After implementation
our client generates purchase orders, goods received notes, payment
requests, etc through our software. The software is integrated to EX
NGN SS 1.5a accounting software. The payments are planned and
controlled through the software. We have specially designed component
and item specification wizard. Our client can put complex queries on
data. Quotation generator module automatically generates a quotation
for their proposed client with bare minimum information with the
current market price. This has helped the marketing department. |

Our client was using EX NGN accounting
software for last 10+ years. They maintain the head office and branch
accounts and stock in EX for all these years. They faced lack of
control over stock maintenance as it is spread in different states.
Secondly, handling the changing taxation in different states made it
difficult.
The scope of the software was to develop user-friendly customized
software that will create a user interface that handles all their
taxation and keep vigil on their stock across branches. We developed
price matrix and discount slabs independent to each distributor with
easy to use wizards. After implementation, the software handles all
their stock spread across branches and keep the tax calculation
perfect. The customized software is integrated with accounting
software EX NGN SS 1.5a. We also have centralized business control
system that helps our client to monitor all the branch activities from
Bangalore. Various graphical and textual MIS are generated.
